EXECUTIVE ASSISTANT

In this challenging role you will be supporting the company Founder; Marketing Director; and the National Workshop Directors, The ideal candidate is looking for a long-term relationship, and will have at least 3-5 years of office experience supporting senior level executives. Must be highly organized, efficient, and able to interact with diplomacy with a wide variety of personalities. Must be prepared to start immediately part-time hours (20 hours per week) and quickly transition to full time status (35 hours per week) within 90 days. Must be well-organized, able to follow written and oral instructions with little supervision, effectively prioritize tasks. Position requires excellent communication and interpersonal skills. It is preferred that you have your own laptop/desktop computer, dedicated phone line and personal cell phone that you will use for this position.

 

Position Description:


Updating calendars, preparing marketing packets, maintain contact database, Microsoft Word, Outlook, and Internet knowledge a must, as are confidentiality and discernment.

Prepare correspondence and presentations for founder and directors.

 

  • Detail-oriented and super-organized
  • Ability to work alone - Very good with computers, word processing and spreadsheets, e-mail, Internet, and other high tech devices like printers, Blackberry, cell phones, etc.
  • You will assist with basic account management including making follow up calls to Body Temple Wellness Members, researching and providing speaker availabilities, descriptions, and topics, as well as drafting email proposals with speaker information.
  • Provide correspondence support for National Workshop Directors.
  • Serve as a direct liaison between Body Temple Wellness and Host churches/home cell groups.
  • Must have the ability to multi-task and work under pressure.
  • Must have excellent communication skills and the availability to consistently provide detailed update reports to company founder.
  • Manage communications and provide professional administrative support to our company founder.
  • Prepare correspondence and presentations for Company founder.
  • Attend (via phone) and take notes for weekly conference calls
  • Schedule and organize meetings, conferences and travel arrangements
  • Create client correspondence and proposal letters.
  • Assist with attracting new clients, support the business development and marketing efforts by creating marketing presentations in PowerPoint, and help generate and coordinate client meetings.
  • Deal with in-coming electronic mail and wherever possible drafting responses, distribution of mail to team members as appropriate.

Additional requirements include:

  • Excellent organizational skills and be detail oriented.
    Strong proofreading skills.
  • Must possess strong analytical problem solving capability, demonstrate sound judgment, and be able to meet deadlines while managing multiple projects.
  • Ability to take ownership of the role and complete accountability.
  • Demonstrate flexibility and a strong desire to learn and to accept new challenges.
  • Ability to work well under pressure to meet deadlines.

Qualifications:

  • 3-5+ yrs experience in a support, communications, customer service, admin or executive assistant role
  • Highly proficient in Microsoft Word, Excel, PowerPoint and Outlook.
  • Desire to make a valued contribution to our company
  • Passionate desire for health, wellness and women’s issues.
  • Strong understanding of the Gospel marketplace and Christian bible.
  • Strong communication skills
  • Interface with all levels of management while exercising  independent judgment and handle ability to handle confidential information
  • Motivated self-starter who takes initiative and is willing to learn and achieve
  • Attention to detail, quality & excellent organization skills

 

 

The ideal candidate will have 3-5 years executive assistant experience in a fast-paced get-it-done environment requiring minimal supervision, providing total support to the Company Founder. Work approximately 20 hours per week, available to transaction into full-time (35 hours per week) within 90 days.
